Office Manager

Our German Office is the hub that allows for our dispersed workforce to connect with each other and with customers. We regularly host customer events and trainings.

The Office Manager’s main focus will be to foster an office environment so that employees, customers, and guests alike have a memorable and good experience. You will manage all office/facilities related activities, including health and safety procedures for the office and interface with the building’s property management and all of our office service vendors to keep the office in pristine condition at all times (electricity, cleaning, maintenance, etc.)

This role will be based in Garching with daily hours of 08:30 – 17:00.


  • Answer, screen and forward incoming phone calls
  • Greet and welcome guests as soon as they arrive at the office
  • Responsible for all incoming and outgoing mail and shipping
  • Assist with the day-to-day operational management of the German Office to assure a high standard of quality.
  • Be pro active in the day to day operations of the office
  • Ensure all facilities are fit for purpose (furniture; machines; plants)
  • Place and follow up on all office supply orders
  • Manage and assess existing relationships with current suppliers and source new suppliers as and when required.
  • Manage all administration processes related to the running of the office liaising with Accounts Payable and external providers as required
  • As required support with coordination of German based events including meeting room bookings, catering, supplies, onsite/offsite meeting facilities & equipment, travels and hotel accommodation.
  • Establish and maintain the Health and Safety procedures within the office.
  • Organise training pertaining to Health and Safety when required
  • Responsible for providing comprehensive administrative support to the German team on travel, expenses, company cars and mobile phones
  • Provide 24/7 office related support in case of security issues (alarm system etc)

  • Minimum of 3 years’ experience having worked in a related role at senior administrative level.
  • Very good and demonstrable MS Office skills
  • Proven ability to work efficiently and effectively multitask several time critical projects while maintaining a high-level attention to detail.

  • Ability to maintain priorities and deadlines amidst interruptions.
  • Ability to anticipate administrative issues and work proactively to resolve them with limited input.
  • Have the ability to take ownership and work to strict deadlines in an assertive and efficient manner.
  • The Office Manager will need to demonstrate exceptional flexibility around this role, including availability outside of normal core hours when required.
  • Fluent in English and German
